What is document scanning?


Document scanning is the process of using high-speed and high-volume document scanners to convert an image of the paper to a digital picture. These electronic images can then be indexed and stored in a document storage repository which gives you the ability to share the data among all the users and the ability to search through millions of scanned documents in a matter of moments.

Should I scan my own documents?


Day-Forward scanning (scanning current and active documents) can be managed in an office using small inexpensive desktop scanners when you are scanning low volumes of paper. Back-File scanning (scanning archived / stored documents) usually involves large volumes of paper. Generally it is best outsourced to a professional scanning company who can generate excellent image quality, at a low cost, using high speed scanners.

How much space do I need for scanned documents?


A compact disc can hold approximately 15,000 images of letter size documents scanned at 200 DPI. As a rule, the size of the image is determined by the size of the paper, amount of detailed information on each page, and the quality needed for the scanned image.

What is DPI?


Abbreviation of Dots Per Inch, which indicates the resolution of images. The more dots per inch, the higher the resolution.

Should my documents be scanned at a high DPI?


There are several factors in determining the necessary DPI. The industry standard is 200dpi, which is enough to pick up most of the printed data. The higher the dpi, the smoother the images become, and the larger the file becomes. With the larger dpi, the scanning time becomes longer. A fax, that scans at 75dpi, is usually acceptable by most people.

How do I retrieve my documents?


The data is stored on the client´s existing network. By using the program´s search feature you can easily retrieve each client by the appropriate search fields with the click of a button.

Are scanned images considered a legally binding document?


If done properly, the courts have upheld that imaging and scanning are just as legally binding as paper. Legal acceptability of document images depends on the operation or the business process used to create the documents. In other words, the key is to ensure that the documents have been scanned, stored and managed with due care and diligence.

How much will it cost to scan in my documents?


This depends on several factors including DPI, indexing, and the number of documents scanned. We will work with all our customers to try to get you the best price possible.
